Short Cover Letter for an Email Body

A short cover letter for email is a few lines in the message body that tell the recruiter who you are, which role you want, and one piece of evidence that fits the job. Your resume is attached; the email only has to earn the click. Aim for roughly 100 to 150 words and keep every sentence useful.

Start with the subject line

Many recruiters open dozens of applications daily, so state the essentials in the subject:

  • Application for Accounts Executive - Ravi Menon - 3 years experience
  • Software Developer (Java) - Priya Nair - Referral from Karthik S
  • Fresher Application: Digital Marketing Trainee - Sneha Iyer

Include the exact job title and the job ID if one is given. Avoid vague subjects such as "Job" or "Resume attached".

Structure of the email body

Use four small blocks:

  • Greeting: Address the person by name if known, otherwise "Dear Hiring Team".
  • Opening line: Name the role and where you saw it.
  • Evidence point: One specific result or skill that matches the requirement.
  • Close: Mention the attached resume, your availability and a polite thank you.

Do not repeat your whole career. The attachment does that job.

Short cover letter for email: a sample

Subject: Application for Customer Support Executive - Arjun Verma

Dear Hiring Team,

I am applying for the Customer Support Executive role posted on your careers page. I have two years of experience handling email and chat support for a telecom client, where I regularly resolved queries within the target time and maintained accurate ticket notes for the team.

My resume is attached for your review. I can join after a 30-day notice period and would be glad to discuss how I can support your team.

Thank you for your time.

Regards, Arjun Verma +91 98XXXXXXXX | arjun.verma@example.com

Choosing the evidence point

Read the job description and pick the single requirement that matters most. Then match it with something you have done. A fresher might mention a final-year project, an internship task or a certification. An experienced candidate can mention a delivered project, a handled volume or a tool. Include numbers only if they are accurate.

Do and don't

  • Do attach the resume as PDF unless another format is requested.
  • Do keep the paragraph short enough to read on a phone.
  • Do use a professional email address with your name.
  • Don't paste the entire resume into the body.
  • Don't write "Sir/Madam" mass greetings with a wrong company name.
  • Don't ask the recruiter to "kindly do the needful" without saying what you want.
  • Don't attach more files than the advertisement requests.

Before you press send

Check the company name, role title, attachment and spelling twice. Send from a laptop if possible so you can confirm that the file opens correctly.

Next step

Draft a short cover letter in CVTara for the role, keep a matching job-specific resume ready, and note the application in your tracker so you remember when to follow up.

Frequently asked questions

How long should a cover letter email be?

Around 100 to 150 words is enough, since the recruiter will read your attached resume for the details.

Should I attach a separate cover letter file?

Only if the job post asks for it. Otherwise a short note in the email body is simpler and more likely to be read.

What should the subject line include?

The exact job title, your name and, if useful, years of experience or a job ID or referral name.
